Document Controller – Agreement

Job Purpose:
To provide high quality documentation support to the Agreement Implementation Section with an emphasis on shared facility agreements and arrangements.
Develop and maintain documentation guidelines that manage the workflow of the Agreement Implementation Section
Update, and maintain Agreement Implementation Plans, Processes and Procedures that form the basis of JI’s responsibilities for Agreement Implementation activities.
Key Result Areas:
Create / maintain documentation templates (i.e., forms, weekly/ monthly reports, etc.)
Maintain, on a current basis, the Agreement Implementation database.
Provide and manage a documentation system by establishing and maintaining standards and procedures compatible with existing corporate policies and requirements.
Ensures all documentation is complete, accurate, and turned over to the corporate Document Centre adhering to all procedures, formats, and standards.
Performs QA/QC document checks and ensures all documents are signed off & distributed according to RasGas procedures and standards.
Develop / maintain continuous improvement program to enhance document support.
Contact person for documentation requirements in JI’s Agreement Implementation Section.
Assists in the development and implementation of project standards, working practice and procedures for activities within the Agreement Implementation Section.
Assist in development & implementation of document / task management systems.
Some knowledge of drawing standards, procedures and practices to help ensure agreement requirements are being properly implemented.
Receives, indexes, and checks all incoming documentation, in any form, and enters it into the appropriate document system in accordance with established procedure.
Provide documentation reporting requirements to Section Head and Managers.
Operating Environment, Framework and Boundaries:
1. The jobholder operates within established company polices and procedures for documentation and documentary control and in a well structured environment with a clear reporting relationship.
2. The section is focused on meeting the company’s, statutory/legal and end user requirements in the most cost-effective way and is thus primarily demand driven.
Communications and Working Relationships:
1. Reports to the Joint Interest Agreement Implementation Specialist.
2. Serves as the RasGas point of contact assigned to specifically monitor the Agreement Implementation Database and related documentation.
3. Internal daily contact with the Joint Interest Business and Technical team.
Problem Solving/Complexity:
1. Exercises independent judgement in selecting and recommending various alternative methods and systems. Solutions are developed on the basis of functional knowledge and company precedent.
2. Able to problem solve personnel issues and procedural conflicts.
3. Provide new workflows to overcome time constraints or work overloads.
Decision Making Authority and Responsibility:
1. Operates in accordance with RasGas’ established procedures and agreements documentation standards and practices. Work is regularly reviewed by Section Head.
2. Recommends systems to improve AI documentation processes.
3. Ensure team members consistently follow Agreement Implementation procedures and processes and raise issues that deviate from established control practices.
Knowledge Skills and Experience:
1. Bachelor’s Degree from an accredited College or University
2. Excellent understanding of and good working background in Documentation Control
3. Minimum of five (5) years work experience in general administration
4. Proven organizational, planning and implementation skills
5. Ability to communicate at a Project Management level
6. Excellent English Communication and Business Writing skills.
